Projects & Contracts Administrator

Job Overview

Your Key Responsibilities Will Include:

• Examine customer purchase orders and contracts to verify compliance with authorized commercial terms and company policies.
• Accurately and promptly process customer, intercompany, purchase, change, and service orders within enterprise systems.
• Facilitate contract execution processes with internal teams and clients to ensure seamless project delivery.
• Assist with invoicing tasks and help resolve any billing-related issues.
• Keep comprehensive and precise project and contract documentation in line with audit and compliance standards.
• Support the preparation of contractual documents, such as letters of credit, bank guarantees, and performance bonds when applicable.
• Set up, maintain, update, and finalize projects in Oracle Project Accounting.
• Ensure the accuracy of project master data and uphold appropriate project structures throughout the project lifecycle.
• Assist with project transitions and necessary documentation evaluations.
• Help project managers with administrative tasks and project control functions.
• Conduct monthly revenue recognition processes and carry out work-in-progress reviews, reconciliations, and clearing tasks.
• Handle intercompany billing transactions and assist with financial administration needs.
• Support month-end, quarter-end, and year-end closing processes related to project accounting and contract management.
• Facilitate backlog evaluations, revenue forecasting, financial analysis, and foreign exchange revaluation tasks.
• Generate and share operational and financial reports, including revenue, backlog, invoicing, purchase order, and management reports.
• Ensure the accuracy of reports and timely delivery to relevant stakeholders.
• Process supplier invoices and manage approval workflows.
• Track open purchase orders and assist with procurement administration tasks.
• Oversee invoice submissions through customer finance portals and electronic invoicing systems.
• Coordinate domestic and international shipping activities with logistics providers and freight partners.
• Prepare and manage shipping and trade documentation, including import and export requirements.
• Ensure compliance with trade regulations, customs requirements, and company policies.
• Manage tax exemption applications, renewals, and adherence to regulatory reporting obligations.
• Maintain records to support audits, compliance assessments, and quality management standards.
• Work collaboratively with cross-functional teams to enhance operational excellence, process improvements, and standardization efforts.
• Assist management in tracking key operational, project, and financial performance metrics.

Qualifications Required for This Role:

• Diploma, Bachelor's degree, or equivalent hands-on experience in Business Administration, Finance, Accounting, Supply Chain, Project Administration, or a related discipline.
• Experience in supporting contract administration, project management, operations, finance, procurement, logistics, or similar business functions.
• Familiarity with enterprise resource planning (ERP) systems and business administration procedures.
• Proficiency in Microsoft Office software, especially Excel and Word.
• Strong organizational skills with the capability to prioritize multiple tasks and meet deadlines.
• Excellent written and verbal communication abilities.
• Meticulous attention to detail and a commitment to maintaining data accuracy.
• Able to work independently while effectively collaborating with cross-functional teams.
• Good understanding of financial and commercial principles.

• Experience with Oracle ERP and Oracle Project Accounting modules.
• Understanding of revenue recognition, project accounting, invoicing, and work-in-progress management processes.
• Experience with import/export documentation, logistics coordination, or trade compliance initiatives.
• Familiarity with letters of credit, bank guarantees, performance bonds, and contract documentation.
• Background in project-driven, engineering, manufacturing, industrial, or technology sectors.
• Experience with regulatory compliance activities related to customs, taxation, or auditing requirements.
