Quality Management Specialist
Job Description
Quality Management Specialist
We are seeking two qualified specialists to design and uphold the corporate Integrated Management System (IMS) documentation. Responsibilities include coordinating review and approval processes with department heads, ensuring implementation across various departments and locations, and facilitating risk-based internal audits. Candidates must possess the ability to craft practical procedures and assess the execution of work.
Minimum Qualifications and Experience:
A bachelor’s degree in quality management, engineering, business administration, operations management, or a closely related field.
A minimum of five years of pertinent experience in quality management or integrated management systems, including at least two years focused on the preparation or revision of Standard Operating Procedures (SOPs), process maps, forms, registers, and associated documentation.
Hands-on experience working in Saudi Arabia, with a solid understanding of how corporate and site operations are coordinated within the Kingdom.
Familiarity with ISO 9001, ISO 14001, and ISO 45001 standards and their implementation in relation to processes, operational controls, responsibilities, and documentation.
Experience conducting internal audits with a focus on risk-based audit planning, interviews, evidence collection, clear reporting of findings, and verification of corrective actions.
Proficiency in Microsoft Word and Excel, with the capability to create process flowcharts in Microsoft Visio and manage work plans, task dependencies, and progress updates in Microsoft Project. Basic knowledge of Power BI for dashboard creation and reporting is also required.
Excellent written and verbal communication skills in English, with the ability to interview process owners and draft clear, precise procedures. Proficiency in Arabic is a plus.
Key Responsibilities:
Engage with process owners and site staff to document actual workflows, decision points, interfaces, role ownership, records, risks, and controls.
Draft and update policies, manuals, SOPs, work instructions, flowcharts, forms, checklists, and registers in compliance with approved corporate templates and coding standards.
Facilitate technical reviews, address comments, secure approvals, maintain revision histories, and manage current and outdated documents.
Create documentation and implementation trackers using Excel or MS Project; monitor outstanding inputs, approvals, training, actions, and deadlines.
Assess implementation at both departmental and site levels by reviewing records, observing operations, and conversing with personnel; identify gaps and ensure resolution.
Assist in the risk-based internal audit program, including audit planning, checklist preparation, execution, evidence collection, findings reporting, and management summaries.
Compile concise progress reports and, when applicable, generate basic Power BI visualizations of documentation status, audit findings, and corrective action progress.
Preferred Experience:
Experience in facilities management and related support services, including catering, logistics, procurement, inventory, and asset management.
Familiarity with ISO 41001 or ISO 55001 standards.
Experience participating in certification or client audits; completion of recognized internal auditor or lead auditor training.
Shortlisting and Practical Assessment:
Shortlist candidates who can present work they have personally created.
Request each applicant to provide a suitably redacted SOP and process map, along with a brief explanation of how they validated the steps with the process owner, identified risks and controls, linked forms and records, and ensured implementation.
During interviews, ask for an example of a risk-based audit and how a finding was effectively resolved.
Candidates whose experience is primarily limited to document formatting or certificate coordination, without direct involvement in procedure development and audit implementation, do not satisfy the role's requirements.
