Your Role And Responsibilities

As a Procurement Operations Specialist, you will provide support for procurement applications and related processes, along with assistance for accounts payable help requests. You will act as a single point of contact for global procurement professionals and suppliers, ensuring both the procurement organization and the client organization receive the support they need.

Your Primary Responsibilities Will Include

• Provide Call Center Support: Answer inbound calls and emails, delivering high-quality support and resolving client questions related to procurement tools and processes. Receive and document help requests from IBM internal clients and suppliers clearly and accurately.
• Resolve Problems and Escalate: Collect relevant details about issues, create problem reports, and escalate to the appropriate Level 2 contact when required. Provide ongoing updates to clients regarding the progress and status of their tickets.
• Maintain Accurate Records: Document each help request by creating a call log, ensuring that accurate contact information is captured and that problems or questions are recorded precisely.
• Utilize Knowledge Database: Use the knowledge database to guide responses to client questions, applying your understanding of supported procurement applications to resolve issues effectively.
• Deliver High-Quality Service: Maintain a courteous and empathetic approach with clients, applying strong professional call-handling practices and meeting high service quality expectations.

Required Technical And Professional Expertise

• Exposure to Procurement Tools: Understand IBM procurement tools and processes, including procurement applications and accounts payable systems.
• Experience Working with Call Centers: Demonstrate knowledge of professional call handling, including clear communication, problem determination, and conflict resolution.
• Knowledge of Organizational Structure: Have a basic understanding of the organizational structure of global procurement and how it connects with internal clients and suppliers.
• Familiarity with Problem-Solving: Exposure to problem-solving approaches such as collecting relevant information, preparing problem reports, and escalating issues to higher-level contacts.
• Basic Software Skills: Be familiar with software applications such as Excel, and have the ability to use knowledge databases effectively to find guidance.

• Designated Language Skills: Ability in additional languages may help support communication with global clients and suppliers.
• Software Specific Skills: Familiarity with software applications beyond Excel, such as other Microsoft Office tools, may be advantageous for using knowledge databases and resolving client questions.
• Procurement Application Knowledge: Deeper understanding of supported procurement applications and their functionality can strengthen problem-solving and improve the quality of support provided to clients.
