Job Description
Key Responsibilities:
Facility Operations & Oversight:
- Manage daily operations of facilities including M&E systems, housekeeping, equipment, and conference rooms
- Maintain all records related to facility management performance
- Develop and submit MIS reports for management review
- Lead monthly progress meetings in the absence of the operations manager
- Conduct performance reviews and appraisals for staff
- Train team members on quality policies and procedures
Service Delivery & Client Relationship:
- Ensure delivery of professional, value-driven services that exceed client expectations
- Advise clients on maintenance budgets and cost planning
- Develop SLAs and ensure vendor resources match service requirements
- Coordinate with procurement teams for vendor agreements
- Assist in client billing, invoicing, and payment follow-ups
Contract & Vendor Management:
- Define terms and scope for Annual Maintenance Contracts (AMC)
- Conduct tendering exercises, comparative analyses, and recommend suitable subcontractors
- Audit vendors for material quality and site maintenance standards
- Monitor subcontractor compliance with training schedules and maintenance procedures
- Ensure subcontractor adherence to labor law compliance, including minimum wage regulations
Preventive Maintenance & Compliance:
- Review and maintain the Preventive Maintenance Register (PMR)
- Set annual cost-saving goals for energy and maintenance operations
- Coordinate with specialist consultants for regulatory compliance
Cross-functional Collaboration:
- Liaise with HR and Operations Manager to identify training needs for the FM team
- Work with the Finance Team for smooth billing and invoicing operations
- Maintain proactive communication with client representatives for relationship and payment management
Requirements:
- Bachelor's degree in any discipline (preferred: Building Management or Business)
- 5–8 years of experience in Facilities Management
- Strong background in contract management, operations oversight, and vendor supervision
- Excellent communication, leadership, and problem-solving skills
- Ability to manage both strategic planning and day-to-day operations
