Job Description

Own and execute onboarding responsibilities for all categories of employment (FTE, Consultant & Contract).

  • Manage and track the onboarding workflow on Darwin Box, manage internal stakeholders, process reviews etc.
  • Responsible for maintaining and improving the onboarding process by managing updates and ensuring alignment with program objective

Responsibilities

  • Onboarding Documentation & Inputs:
  • Collate and follow up on onboarding inputs from stakeholders, ensuring adherence to the defined TAT.
  • Initiate and complete onboarding documentation processes within established timelines.
  • Communicate new joiner information to relevant stakeholders and collaborate with them ensuring a hassle-free onboarding experience.

  • Onboarding Planning & Scheduling:
  • Formulate the weekly onboarding plan ensuring smooth onboarding for both joiners and facilitators.
  • Share relevant access/information with new joiners, ensuring all resources are available for a seamless experience.
  • Track and oversee the onboarding workflow, ensuring that all stakeholders are aligned with the timeline.

  • Program Management & Process Improvement:
  • Monitor onboarding feedback and identify trends, highlighting areas of improvement and actionable insights.
  • Coordinate and manage People Partner and cross-functional connections, ensuring that each category of new joiners is properly integrated into the company culture.
  • Organize and execute leadership team meet and greets, ensuring engagement with senior leaders is impactful.
  • Work with HR Tech to continuously assess and improve the onboarding process, incorporating feedback to streamline operations.

  • Record-Keeping & Reporting:
  • Maintain and update the health report on all onboarding interventions, ensuring accurate and up-to-date records.
  • Track new joiner attendance, escalate absenteeism as needed, and ensure all documentation is properly filed.
  • Monitor and ensure the timely dispatch of assets/welcome kits and track the completion status of compliance modules.

  • Collaboration & Program Coordination:
  • Collaborate with stakeholders to track and share onboarding progress, ensuring all aspects are completed on time.
  • Support audit requirements and ensure alignment with internal policies and procedures.
  • Leverage program management tools to ensure all aspects of onboarding are executed smoothly and on time.

  • Ability to manage and execute onboarding operations with a focus on program management and continuous improvement.
  • Adherence to SLAs of projects, with a strong focus on timely delivery and quality.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Excel, Docs, PowerPoint, etc.).
  • Strong problem-solving skills, proactive attitude, and an ability to manage multiple priorities.
  • Analytical skills to track and interpret onboarding data, providing actionable insights for process improvement.

Skills

  • Organizational and time management skills with attention to detail.
  • Ability to collaborate with cross-functional teams and manage multiple tasks.
  • Experience with program management tools or project coordination is a plus.

Experience and Qualifications

  • Qualification: A bachelor s degree in human resources, Business Administration, Psychology, or a related field.
  • Experience: Preferably 1 -2 years of experience handling an onboarding process, with some exposure to program management or process improvement initiatives.
