Job Description

Key Responsibilities:

Front Desk Management

  • Greet and assist visitors, students, and trainees professionally.
  • Handle incoming calls, emails, and correspondence efficiently.
  • Manage the visitor log and ensure proper identification and security procedures.

Administrative Support

  • Schedule appointments, training sessions, and meetings.
  • Maintain and organize files, records, and documentation.
  • Assist trainers and administrative staff with day-to-day tasks.

Communication & Coordination

  • Serve as the first point of contact for inquiries related to training programs.
  • Coordinate with teaching staff, trainees, and management for smooth operations.
  • Disseminate information regarding schedules, events, and updates.

Office & Facility Management

  • Ensure the reception area and training rooms are clean, organized, and well-maintained.
  • Manage office supplies, equipment, and inventory related to training programs.
  • Assist in event coordination and logistical arrangements for training sessions.

Reporting & Documentation

  • Maintain attendance records and participant logs for training programs.
  • Prepare routine reports and updates for management.
  • Assist in documentation required for audits or program evaluations.

Required Qualifications:

  • High School Diploma or equivalent; Bachelor's degree preferred.
  • 1–5 years of experience in reception, front office, or administrative roles.
  • Excellent communication, interpersonal, and organizational skills.
  • Proficiency in MS Office and office communication tools.
