Key Responsibilities:nhance Employee Global Mobility Experience -
- Provide ongoing, end-to-end support to relocating employees on assignment-related matters including payroll, benefits, immigration, expenses, insurance, and local benefits (housing, transportation, schooling, shipping, and local registrations).
- Partner with Business HR ਊnd Talent teams to assess mobility requests and provide recommendations on assignment type, duration, cost, and compliance viabilityਊligned to business needs.
- Draft, refine, interpret, and govern the Global Mobility SOPs, including managing mobility exceptions in collaboration with Rewards, ensuring fair, consistent, and compliant application.
- Collaborate closely with business HR teams to understand employee mobility needs and support strategic talent movement initiatives.
- Ensure compliance with local immigration laws, tax regulations, employment policies, and internal governance standards across various jurisdictions.
- Identify, flag, and proactively mitigate immigration, tax, payroll, and compliance risksਊssociated with global assignments.
- Ensure all mobility processes, documentation, and records are audit-readyਊnd aligned with internal and external compliance requirements.
- Coordinate with external partners, including immigration counsel, relocation service providers, insurance vendors, and Employer of Record (EoR) partners, as required.
- Manage and support different mobility programs, including short-term assignments, long-term assignments, international transfers, and future EoR models.
- Maintain accurate and up-to-date employee mobility records, tracking assignment durations, work permits, visa expiry dates, and compliance milestones.
- Track visas and manage visa preparation processes in coordination with immigration counsel draft invitation letters and travel-related visa documentation.
- Create and maintain mobility dashboards, trackers, and reports (e.g., active assignments, visa expiry risks, cost trends) to support leadership decision-making and share periodic status updates with the Rewards CoE
- Track and monitor mobility-related costs (immigration, relocation, allowances, vendor fees) and provide insights to stakeholders to support cost-effective mobility decisions.
- Prepare and manage assignment documentation, including letters of assignment, welcome emails, employee mobility journey maps, employee checklists, and balance sheets. Maintain all expatriate documents and ensure timely upload to the Personnel file
- Connect with employees post-offer acceptance, ensuring continuous engagement and support throughout the immigration and relocation lifecycle-including travel bookings, FOREX, home-country exit formalities, transit support, temporary accommodation, insurance enrolment, and host-country resources.
- Track the employee journey from offer acceptance through relocation and the first 30 days of arrival in the host country.
- Seek required approvals and process LTA, Children Education Allowance, and other mobility-related payments.
- Coordinate with host-country HR teams and buddies to enable smooth onboarding and settlement.
- Calculate gratuity for exiting expatriatesਊnd support the Finance team with annuity calculations.
- Manage expatriate insurance enrolments and deletions, including periodic connects with global insurance vendors and census validation.
- Partner closely with Total Rewards, Talent, SAP DM, Payroll, Finance, Admin, and Travel Desk teams to support end-to-end Global Mobility operations.
- Partner with HRBPs and Talent teams to support structured repatriation, focusing on role continuity, compliance, and a positive employee experience.
- Provide recommendations for continuous improvement of mobility programs and processes to enhance efficiency, governance, and employee experience.
- Strive to create a positive, compliant, and employee-centric experienceਏor both expatriating and repatriating employees.
Skills & Qualification: Strong knowledge of Excel and HR programs/systems
- You have 5+ years of experience in global mobility, immigration, or related fields
- You have knowledge of international immigration laws, tax regulations, and employment policies
- You have familiarity with various types of work permits, visas, and relocation processes
- You have exceptional organizational skills with a keen eye for detail and the ability to manage multiple tasks simultaneously
- You have strong communication and interpersonal skills, with the ability to build relationships with employees, managers, and external partners across geographic locations
- You are flexible and considerate of time zones
- You have the ability to deal with ambiguity and thrive in an unstructured environment
