Job Description

Key Responsibilities:

Front Desk & Visitor Management

  • Act as the first point of contact for all visitors and employees at reception.
  • Greet and assist guests with professionalism and courtesy.
  • Manage visitor check-in, registration, and access coordination.
  • Ensure a welcoming, organized, and professional reception environment at all times.

Customer Service & Communication

  • Handle high-volume inquiries from visitors, employees, and vendors efficiently.
  • Provide clear, calm, and professional responses to complaints and service issues.
  • Maintain strong interpersonal relationships with stakeholders from diverse backgrounds.

Facilities Support Operations

  • Support the facilities management team in day-to-day operations.
  • Assist in booking meeting rooms and managing scheduling requests.
  • Maintain inventory of office and front desk supplies.
  • Process ad-hoc service requests and coordinate with relevant teams.

Incident & Escalation Management

  • Follow escalation procedures for incidents and workplace issues.
  • Assist in incident reporting and ensure compliance with company guidelines.
  • Maintain documentation related to visitor management and facility operations.

Administrative Duties

  • Maintain accurate records of visitors, bookings, and service requests.
  • Support documentation and reporting tasks as required.
  • Ensure proper handover of information between shifts or teams.
