Job Description
Key Responsibilities:
- Reception Management: Greet and welcome visitors, clients, and employees in a professional and friendly manner.
- Communication Handling: Answer, screen, and forward incoming phone calls; handle inquiries and direct them to the appropriate departments.
- Visitor Coordination: Maintain a visitor logbook and issue visitor badges, ensuring compliance with security and safety procedures.
- Scheduling & Appointments: Manage meeting room bookings, coordinate schedules, and assist in organizing internal and external meetings.
- Administrative Support: Handle routine administrative tasks such as filing, data entry, and maintaining office records.
- Mail & Courier Management: Receive, sort, and distribute incoming mail and packages; manage outgoing courier dispatches.
- Office Coordination: Coordinate with vendors and support staff for office maintenance, supplies, and facility-related needs.
- Customer Service: Address and resolve basic inquiries from clients and guests, ensuring a positive experience at the front desk.
- Reporting: Maintain records of attendance, visitor logs, and daily activities as required by management.
Requirements:
- Bachelor's degree in any discipline.
- 0–3 years of experience in front desk operations, customer service, or administrative support.
- Excellent verbal and written communication skills.
- Proficient in MS Office (Word, Excel, Outlook) and basic office management tools.
- Pleasant personality with strong interpersonal and organizational skills.
- Ability to multitask, prioritize, and handle pressure in a professional manner.
- Strong sense of responsibility, punctuality, and attention to detail.
