Job Description

Key Responsibilities:

  • Reception Management: Greet and welcome visitors, clients, and employees in a professional and friendly manner.
  • Communication Handling: Answer, screen, and forward incoming phone calls; handle inquiries and direct them to the appropriate departments.
  • Visitor Coordination: Maintain a visitor logbook and issue visitor badges, ensuring compliance with security and safety procedures.
  • Scheduling & Appointments: Manage meeting room bookings, coordinate schedules, and assist in organizing internal and external meetings.
  • Administrative Support: Handle routine administrative tasks such as filing, data entry, and maintaining office records.
  • Mail & Courier Management: Receive, sort, and distribute incoming mail and packages; manage outgoing courier dispatches.
  • Office Coordination: Coordinate with vendors and support staff for office maintenance, supplies, and facility-related needs.
  • Customer Service: Address and resolve basic inquiries from clients and guests, ensuring a positive experience at the front desk.
  • Reporting: Maintain records of attendance, visitor logs, and daily activities as required by management.

Requirements:

  • Bachelor's degree in any discipline.
  • 0–3 years of experience in front desk operations, customer service, or administrative support.
  • Excellent verbal and written communication skills.
  • Proficient in MS Office (Word, Excel, Outlook) and basic office management tools.
  • Pleasant personality with strong interpersonal and organizational skills.
  • Ability to multitask, prioritize, and handle pressure in a professional manner.
  • Strong sense of responsibility, punctuality, and attention to detail.
