Job Description

Job Overview

The Facilities Operation Lead is responsible for ensuring the safe, compliant, and efficient management of building facilities systems and infrastructure, both in current facilities and any future assignments. This position involves leading a team of technicians and overseeing vendor relationships to guarantee reliable facility operations (such as HVAC, electrical systems, fire & life safety, plumbing, and controls). The role also emphasizes maintaining compliance with Environmental Health and Safety (EHS) and quality standards, optimizing energy and maintenance expenditures, and assisting with projects, shutdowns, and system upgrade initiatives while minimizing disruptions to business activities.

Primary Duties

  • Oversee the daily operations of facilities systems—including HVAC/Chillers, Power Distribution (LV/MV), Emergency Power/UPS/Gen-sets, BMS/Controls, Fire & Life Safety (FA, PA, sprinklers, hydrants), Plumbing & Drainage, Water Systems, and Elevators—collaborating closely with the KM1/2 team.
  • Engage with clients and key stakeholders to comprehend requirements, manage expectations, address concerns, and ensure timely communication regarding all operational issues.
  • Ensure that preventive, predictive, and corrective maintenance is executed in line with OEM and industry standards as well as CMMS schedules; maintain precise work orders, asset registers, and maintenance documentation.
  • Conduct root cause analysis (RCA) and implement corrective and preventive actions (CAPA) for equipment failures, incidents, and recurring defects.
  • Maintain statutory logs, safety permits, operation and maintenance manuals, as-built drawings, and critical spares inventory.
  • Uphold EHS policies and protocols—including Permit-to-Work (PTW), Lockout/Tagout (LOTO), Confined Space, Working at Height, and Hot Work.
  • Ensure readiness for audits and support both internal and external assessments (e.g., ISO 9001/14001/45001, RBA, FM standards).
  • Drive risk assessments (JHA, BAR, SIPP as applicable), emergency response preparedness, and business continuity strategies for critical systems.
  • Lead, mentor, and schedule the team of technicians; enhance technical skills, safety awareness, and customer service competencies.
  • Establish clear objectives, provide performance evaluations, and promote accountability for safety, quality, and operational execution.
  • Encourage a culture focused on zero incidents, continuous improvement, and strong customer orientation.
  • Oversee vendors involved in O&M, specialized services, and projects; define scopes, supervise on-site activities, verify service quality, and approve invoices.
  • Ensure adherence to SLAs/KPIs, timely resolution of non-conformities, and escalation of performance issues when necessary.
  • Conduct regular toolbox talks, service reviews, and approvals of method statements and risk assessments.
  • Develop and implement lifecycle plans, refurbishment strategies, and obsolescence management for critical assets.
  • Lead and assist with minor works, shutdowns, and Testing & Commissioning (T&C); review designs, method statements, shop drawings, and O&M documentation.
  • Collaborate with stakeholders to plan outages, lock-ins, and return-to-service activities with minimal effect on business operations.
