Operations Management

Job Description

Technical Operations & Maintenance:

  • Oversee daily operations and ensure delivery of all technical services as per client requirements
  • Manage all electromechanical operations, repairs, and maintenance activities
  • Supervise building systems including fire/life safety, MEP systems, and critical utilities
  • Ensure all planned preventive maintenance (PPM) is executed on time
  • Suggest and implement improvements to the preventive maintenance program
  • Conduct regular inspections of MEP equipment and make required operational adjustments
  • Coordinate with contractors, engineers, and tenants for smooth technical operations
  • Maintain and administer inventory control programs for parts and consumables

Asset & Documentation Management:

  • Ensure accurate documentation of all assets and maintain trackers
  • Track assets under Defect Liability Period (DLP) and AMC/CAMC
  • Manage as-built drawings and transition documentation
  • Conduct risk/root-cause analysis for system failures and ensure corrective/preventive action plans

Team & Vendor Management:

  • Recruit, train, and manage shift engineers and maintenance staff
  • Ensure timely renewal of vendor agreements, quotation reviews, invoice submission, and payment follow-ups
  • Monitor and ensure compliance of all vendors with SLAs and KPIs
  • Maintain excellent service levels and performance indicator scores

Financial Management & Reporting:

  • Play a key role in managing engineering operational accounts and budgeting
  • Ensure timely preparation and submission of client-approved cost sheets to JLL office
  • Follow up for invoice generation and submission to client; ensure follow-up for payment realization
  • Oversee proper sign-offs for attendance and ensure completeness for billing
  • Submit all required reports (DMR, MMR) and ensure compliance with internal reporting protocols

Safety, Compliance & Risk Mitigation:

  • Enforce and ensure compliance with safety procedures, codes, and regulations
  • Facilitate services under the safety-first principle: 'No Safety, No Work'
  • Conduct and participate in evacuation drills and support emergency response plans
  • Work on mitigation of inherent risks by assessing building operations regularly

Coordination & Communication:

  • Work closely with regional and head office teams (RO/HO/SME/Training) for report closures and audits
  • Ensure all stakeholders are updated and aligned through effective communication

Qualifications:

  • Degree/Diploma in Electrical, Mechanical, Civil, or Marine Engineering
  • 8 to 12 years of experience in Facilities Management in sectors like Real Estate, Malls, Hotels, Construction, or Residential Properties
  • Strong understanding of technical operations, asset management, and compliance requirements
  • Excellent communication, analytical, and problem-solving skills
  • Hands-on experience with service delivery, vendor coordination, and budget management
