Job Description
1. Office Administration and Coordination
- Manage overall operations of the centre, greeting visitors, and assisting patients and families with inquiries and answering any inbound queries for admission.
- Coordinate schedules, meetings, and appointments for staff and ensure efficient use of shared spaces and resources.
- Maintain accurate records, patient files, and documentation in compliance with healthcare regulations and confidentiality standards.
2. Financial and Inventory Management
- Assist in budget tracking, handling payments, and maintaining records of expenses for day-to-day operations.
- Oversee inventory of medical and office supplies, ensuring adequate stock levels and timely reordering.
- Coordinate with vendors and suppliers to procure equipment and supplies, ensuring cost-effectiveness and quality.
3. Human Resources and Staff Support
- Support recruitment processes by coordinating interviews, managing staff records, and assisting with on-boarding.
- Maintain personnel files and manage attendance, leave, and payroll documentation in collaboration with HR.
- Organize staff training sessions, workshops, and team-building activities as needed to support a cohesive work environment.
4. Patient and Family Assistance
- Serve as a point of contact for patient families, providing guidance on administrative matters, admissions, and billing.
- Assist in organizing patient admissions and discharges, coordinating with the medical team for smooth transitions.
- Address patient and family concerns promptly and professionally, ensuring their comfort and satisfaction.
5. Facility Management and Compliance
- Oversee the maintenance of the facility, coordinating repairs, cleaning, and security to ensure a safe environment.
- Ensure compliance with healthcare regulations, safety protocols, and internal policies, conducting routine audits and inspections.
- Support data collection and reporting needs, preparing regular administrative reports for management review.
6. Community Engagement and Outreach
- Assist in organizing community awareness programs and outreach activities to promote the palliative care centre's services.
- Coordinate with local organizations, volunteers, and stakeholders to support partnerships, events and collaborative initiatives.
